This Privacy Policy explains how U.S. Election Industry Association, a Wyoming nonprofit corporation (also known as "The United States Election Industry Association") ("USEIA," "we," "us"), collects, uses, discloses, and protects personal information when you visit ElectionIndustry.com (the "Site"), join as a member, subscribe to our newsletter, submit or vote on nominations, or otherwise interact with us.
3.1 Information we collect

- Membership information: membership type and tier, designated individuals (for firm memberships), membership dates, and renewal status.

We may receive limited information from Stripe, such as your name, billing email, billing address/ZIP code, the last four digits and brand of your card, the expiration date, and transaction status.
- Nominations: information about the nominator and the nominee (for example, names, organizations, contact details, descriptions of achievements, photos, and supporting materials).
- Newsletter and communication preferences: your subscription status and preferences, and records of your consent (including SMS express-written-consent and opt-out records).
- Communications: messages you send us and our replies.
- Awards voting: information needed to verify eligibility and record your vote (see Section 3.5).
- Member directory listing: the fields you choose to display (see Section 3.14).
- Data-Removal Services: for members who use this service, identifying information, intake details, and your signed authorization (see Section 3.13).
Information collected automatically:
- Cookies: we use a cookie to remember that you have entered the Site's access password and to maintain your session. See the Cookie Notice.
- Server and security logs: our hosting provider automatically records technical information such as IP address, browser type, device information, pages requested, referring URL, and date/time of requests. We use this to operate, secure, and troubleshoot the Site.
- Email engagement: our email provider may record whether emails are delivered, opened, or clicked, and unsubscribe events.
Information from others: a person may nominate you for an award, or your employer may designate you under a firm membership. In those cases we receive your information from that person or organization.
Except for information members choose to provide for the Data-Removal Services (Section 3.13), we do not intentionally collect sensitive personal information (such as Social Security numbers, government ID numbers, precise geolocation, or information about health, religion, or sexual orientation). Please do not submit it. Political opinions or affiliations may be inferable from professional information you choose to share; we do not use such information to profile individuals.
3.2 How we use information
We use personal information to:
- provide the Site and password-protected areas, and maintain sessions;
- process memberships, payments, renewals, and refunds;
- send transactional messages (receipts, renewal reminders, account notices);
- send newsletters and updates you subscribed to (you can unsubscribe at any time);
- send text messages, only if you opted in;
- administer the GOTV Awards, including reviewing nominations, verifying voters, calculating vote allocations from payment records (1 vote per $1 paid to the Association in 2026), tallying votes, and announcing winners;
- operate the online member directory (see Section 3.14 and Terms of Use, Section 1.20);
- provide the Member Data-Removal & Protection Services as your authorized agent (see Section 3.13);
- respond to inquiries and provide support;
- protect the security and integrity of the Site, prevent fraud and abuse, and enforce our terms;
- comply with legal obligations; and
- improve the Site and our programs.
3.3 How we disclose information
We do not sell your personal information, and we do not "share" it for cross-context behavioral advertising (as those terms are defined under California law). We disclose personal information only as follows:
- Service providers that process information on our behalf under contract, including: Vercel (website hosting, server logs, and file storage through Vercel Blob); Resend (email delivery); Stripe (payment processing – Stripe also processes data under its own privacy policy for fraud prevention and legal compliance); our SMS service provider (text message delivery); data-removal, monitoring, and takedown vendors (Data-Removal Services); and other service providers that help us operate the Site.
- Awards judges and administrators, who review nominations under confidentiality obligations.
- Public announcements: nominee and winner names, organizations, photos, and descriptions may be published as described in the GOTV Awards Rules.
- Directory visitors: the the public see the directory fields described in Section 3.14.
- Data brokers, search engines, AI operators, and platforms: only the information needed to process removal, correction, or takedown requests you authorize (Section 3.13).
- Sponsors: we do not give sponsors your personal information unless you expressly opt in at the time of collection (for example, by checking a box at an event registration).
- Legal and safety: when required by law, subpoena, or court order, or to protect the rights, property, or safety of USEIA, our members, or others.
- Business transfers: in connection with a merger, reorganization, or transfer of the Site or organization, subject to this Policy.
- With your consent or at your direction.
3.4 Do Not Sell or Share My Personal Information
USEIA does not sell personal information and does not share personal information for cross-context behavioral advertising. We have not done so in the preceding 12 months. Because we do not sell or share, we do not offer a separate opt-out mechanism; however, if you have questions or wish to submit a request anyway, email Winning@ElectionIndustry.com. We honor Global Privacy Control (GPC) browser signals as a request to opt out of sale/sharing, to the extent applicable. We do not knowingly sell or share the personal information of consumers under 16.
3.5 Awards voting, payment records, and blockchain records
GOTV Awards votes are allocated based on payments made to the Association in 2026 (see the GOTV Awards Rules). To calculate and verify vote allocations, we use payment records (from Stripe and our own records) and match them to a verified voter account. Votes are recorded on a blockchain to provide a transparent, tamper-resistant record. Blockchain records are generally permanent and cannot be altered or deleted, by us or anyone else. We design voting so that no names, email addresses, payment details, or other directly identifying information are written to the blockchain; votes are recorded using pseudonymous voter identifiers. Information we hold off-chain, such as the link between a pseudonymous identifier and your account, can be deleted under Section 3.8, subject to our record-keeping obligations, but on-chain records cannot. By voting, you acknowledge this limitation.
3.6 Retention
We keep personal information only as long as reasonably necessary for the purposes described above, including to meet legal, tax, and accounting requirements. As a general guide: membership and payment records – duration of membership plus 7 years; newsletter data – until you unsubscribe, plus a suppression record so we do not email you again; nominations – 3 years after the award cycle, except published winner information, which may be kept indefinitely as part of our historical record; server logs – per our hosting provider's retention; inquiries – 2 years; Data-Removal Services – see Section 3.13; directory listings – until removed or membership ends.
3.7 Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information, including encrypted (HTTPS) connections, access controls, and reliance on PCI-compliant payment processing through Stripe. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If we learn of a security breach affecting your personal information, we will notify you as required by law.
3.8 Your privacy rights
Depending on where you live, you may have the right to:
- Know/access the categories and specific pieces of personal information we hold about you, the sources, the purposes, and the categories of third parties to whom we disclose it;
- Correct inaccurate personal information;
- Delete personal information (subject to legal exceptions and the blockchain limitation in Section 3.5);
- Data portability – receive a copy of your information in a portable format;
- Opt out of sale, sharing, targeted advertising, and profiling with legal or similarly significant effects (we do not engage in these activities);
- Limit use of sensitive personal information (we do not collect it for inferring characteristics);
- Appeal a decision we make about your request; and
- Non-discrimination – we will not discriminate against you for exercising your rights.
California residents (CCPA/CPRA): In the past 12 months we have collected the following categories of personal information: identifiers (name, email, phone, IP address); customer records (billing information received from Stripe – not full card numbers); commercial information (membership purchases); internet or network activity (server logs; password-gate/session cookie); professional or employment-related information (firm, title, nomination content); and, for Data-Removal Services users only, sensitive personal information such as precise home addresses (used only to provide the service you requested). We do not create inferences or profiles. Sources, purposes, and recipients are described in Sections 3.1–3.3; retention is described in Section 3.6. We do not sell or share personal information, and we do not use sensitive personal information for purposes that would require a right to limit. California "Shine the Light": we do not disclose personal information to third parties for their own direct-marketing purposes.
Other states: Residents of states with comprehensive privacy laws (for example, Colorado, Connecticut, Virginia, Oregon, Texas, and others) may exercise the rights available under their state's law. Regardless of where you live, we will consider requests to access, correct, or delete your information.
How to submit a request: Email Winning@ElectionIndustry.com with your name, email, and the request. We will verify your identity by matching information you provide to our records (for example, confirming control of your email address). You may use an authorized agent; we may require proof of the agent's authority and verify your identity directly. We will respond within the time required by law (generally 45 days, extendable where permitted). Appeals: if we deny your request, you may appeal by replying to our decision email with "Appeal" in the subject line; we will respond within the time required by law. If your appeal is denied, you may contact your state Attorney General.
3.9 Email and text messages
You can unsubscribe from newsletters and marketing emails at any time using the "unsubscribe" link in any such email or by emailing Winning@ElectionIndustry.com. We honor unsubscribe requests within 10 business days. We will still send transactional messages about your membership or purchases. If you opted in to text messages, reply STOP to opt out at any time. See Email & Text Message Terms.
3.10 Children's privacy
The Site is intended for adults and is not directed to children. We do not knowingly collect personal information from children under 13, and we do not knowingly sell or share the personal information of anyone under 16. If you believe a child has provided us personal information, contact Winning@ElectionIndustry.com and we will delete it.
3.11 International users
The Site is operated in the United States and intended for U.S. users. If you access it from outside the U.S., your information will be processed in the United States, where privacy laws may differ from those in your country.
3.12 Third-party sites
The Site may link to websites we do not control. This Policy does not apply to them.
3.13 Data-Removal Services – how we handle your information
This section applies to members who use the Data-Removal Services described in Terms of Use, Section 1.19.
- What we collect. To find and request removal of your information, we collect what you provide in the intake form and Data-Removal Authorization. This may include: full name and former or alternate names; current and past home addresses; personal phone numbers and email addresses; date of birth or age range; usernames and social media handles; examples or URLs of listings, impersonation accounts, or content you want addressed; and your electronic signature on the authorization. We also generate scan results showing where your information appears (listings, search results, AI outputs, breach or dark-web exposures) and records of requests submitted and their outcomes. We do not ask for Social Security numbers, full financial account numbers, or government ID images unless a specific third party requires ID verification and you choose to provide it directly to that third party or to us for that limited purpose.
- Sensitive information. Some of this information (for example, precise addresses, or account credentials if you choose to share them) may be "sensitive personal information" under some state laws. We use it only to provide the service you requested and not to infer characteristics about you. We do not sell or share it.
- How we use it. Only to (i) search for your information; (ii) submit and track opt-out, deletion, de-indexing, correction, and takedown requests as your authorized agent; (iii) monitor for exposures and alert you; (iv) verify your identity to third parties; (v) keep records of your authorization and of requests made; and (vi) comply with law. We do not use Data-Removal information for marketing, directory listings, awards, or any other purpose.
- Who receives it. Our data-removal, monitoring, and takedown vendors (names available on request), under written contracts that limit their use to providing the service and require appropriate security. The data brokers, search engines, AI operators, and platforms to which we submit requests on your behalf receive only the information reasonably needed to locate and process your request. Once they receive it, their own privacy policies apply.
- Security. We apply heightened safeguards to this information, including access limited to personnel who need it, encryption in transit, and vendor security reviews.
- Retention. We keep intake information while you use the service. After the service ends, we delete or de-identify it within 90 days, except that we keep a record of your authorization and the requests we submitted for 3 years to document our authority and respond to questions.
- Your choices. You may update your intake information, revoke the authorization, or ask us to delete your Data-Removal information at any time by emailing Winning@ElectionIndustry.com. Revoking ends the service.
3.14 Member directory
- What is listed. If you are listed in our online member directory (Terms of Use, Section 1.20), we display only the fields described there that you have chosen or that are included by default, such as your name or firm name, membership type, and city/state. We never display payment information, home addresses, personal phone numbers or emails, or Data-Removal information.
- Visibility and indexing. The directory is publicly viewable. Directory pages are marked "noindex" and disallowed in our robots.txt for search engines and known AI crawlers. Anything displayed publicly can be seen and copied by others.
- Choice and removal. Listing is opt-in and never required for membership. You can change or remove your listing at any time by emailing Winning@ElectionIndustry.com. Requests are processed within 10 business days, and listings are removed when membership ends.
- Accuracy. You may correct your listing at any time. We may remove inaccurate or misleading listings.
- No sale; no scraping. We do not sell directory information, and our Terms prohibit others from scraping or bulk-collecting it.
3.15 Changes to this Policy
We may update this Policy. We will post the updated version with a new "Last updated" date and, for material changes, provide additional notice (such as by email or a Site notice).
